- Some students search for interpreters using an online spreadsheet. This could be Google Sheets or iCloud Numbers, for example. You can create your timetable as a spreadsheet and generate an access link. You can send this link to the sign language interpreters. The idea is that the sign language interpreters can then enter themselves directly into the timetable.

If you are looking for GSD for events that last longer than one hour, you will need two interpreters.

The following points summarise the regulations for sign language interpreting in Berlin's higher education sector.
Type of assignment:
Sign language interpreting at universities and colleges in Berlin.
Staffing:
For assignments lasting longer than one hour, two interpreters may be assigned.
Fee:
For sign language interpreters on site, the fee is €93 per hour, plus travel and waiting times, VAT and travel costs within Berlin. The cost of monthly travel passes cannot be covered. As a rule, travel costs are reimbursed at €0.42/km (car) or the local public transport fare applicable in the state of Berlin.
The fee for online providers with certified sign language interpreters is €93 plus VAT per hour, plus an €18 platform fee per hour. A maximum of 5 hours of platform fees at €18 per day will be reimbursed.
Either travel and waiting times including travel costs or platform fees can be claimed per student per day.
Organisation:
Students are responsible for organising sign language interpreting services themselves. If they have any questions, students can contact their point of contact at the Accessible Studying Advisory Service at studierendenWERK BERLIN.
Cancellation:
Cancellation is possible up to three working days before the interpreting assignment.
If a booked assignment is cancelled by the student within three working days, compensation amounting of a maximum of two hours (93 euros plus VAT) will be paid. Such a short-term cancellation must be justified and countersigned by the student. Written proof must be submitted, stating the date and time as well as the reason for the cancellation. If the cancellation is caused by the university, the signature of the person responsible must also be obtained.
In the event of student absences that lead to short-term cancellations of booked sign language interpreting services, a medical certificate must be submitted after the third day of absence per semester in the case of illness. In the case of other reasons for absence, the reason must be substantiated in an appropriate manner. Cancellations that are not sufficiently justified cannot be accepted by studierendenWERK BERLIN.
Representation:
In the event that the interpreters are unable to perform their duties, they shall notify the students and endeavour to find a suitable replacement.
Preparation:
Students provide interpreters with preparatory materials or contact details for lecturers. Students also endeavour to arrive early in order to find the best seating position with the interpreters. Preparatory materials for their own presentations should be sent to the interpreters in good time.
Invoicing:
Sign language interpreters shall have their assignments confirmed by the students with a signature immediately after the end of the assignment and shall attach the confirmation to the invoice. The assignment confirmation can be kept on a rolling basis for each student. The information on the invoice and the confirmation of service must match (date, service times, name of the course, etc.), otherwise the invoice cannot be paid.
We ask that invoices be grouped together for each student. Invoices must be submitted no later than six months after the assignment was completed (Section 14 of the Value Added Tax Act). Invoices must be separated by calendar year.
Invoices must always be sent to the relevant contact person at the studierendenWERK's Accessible Studying Advisory Service. Responsibility lies with the university of the student for whom the service was provided (see below!).
Quality assurance:
Before the first invoice is issued, studierendenWERK requires proof of the sign language interpreter's qualifications. In accordance with the admission requirements of the Federal Association of Sign Language Interpreters in Germany (Bundesverband der Gebärdensprachdolmetscher*innen Deutschlands e. V.), we pay remuneration in accordance with the JVEG and HonVSoz for the following qualifications:

In the case of other qualifications, studierendenWERK BERLIN bases its fees on the recognised rates for communication assistants set by the Berlin Inclusion Office.

The data on the invoice and the assignment confirmation must match (date, assignment times, name of the course, etc.), otherwise the invoice cannot be paid. We request consolidated collective invoices for each student. Invoicing must take place no later than six months after the assignment has been completed (§14 Umsatzsteuergesetz [German Value Added Tax Act]). When invoicing, it is necessary to separate the invoices by calendar year. Invoices must always be sent to the responsible contact person at the Accessible Studying Advisory Service of the studierendenWERK. Responsibility is determined by the university of the student for whom the assignment took place.
Quality assurance:
Before the first invoice is issued, studierendenWERK requires suitable proof of the communication assistant's qualifications. The fees and hourly rates for communication assistance are based on the recognised fees and hourly rates for communication assistance set by the Berlin Integration Office.
